Even though you "deleted" messages, they're not permanently deleted until you empty the Deleted Items folder.

Download and save any attachments to your computer, then delete the message. Attachments use up a lot of space, especially anything with photos or graphics.

If you use Outlook 2003, you may want to consider creating a personal storage folder on your computer.

Creating sub folders are handy for organizing things, but they still count against your total usage so moving messages to other folders will not free up space.

Stop by the Help Desk if you'd like an itemized view of your mailbox usage and additional tips.

.

Log in to your seattleu.edu email

Abstract:
Outlook Web Access (OWA)

Manage your seattleu.edu email from any computer with Internet access. Note: You will need Microsoft Windows and Internet Explorer to utilize all of the email features. However, most browsers will permit you to perform basic email commands.

Go to https://owa.seattleu.edu and provide your email address and password.

Short-cut: Using a campus computer? The database currently delivers university Registration information and other reports based on Datatel Colleague. Because the system is web-based, it can be accessed from any computer with an Internet connection, on or off campus. Additionally, many will find that it's reporting utilities are more user-friendly than the traditional Datatel interface.

To obtain permission to use SUDDS, you must have completed FERPA training (online or in a bi-monthly training workshop) and then you must submit an email to sudds@seattleu.edu with your request for permission. There is more than one way to do this, you may want to experiment and try different methods.

Note - The only email format that is 100% compatible with all email clients is plain text. How a document appears when a recipient opens the document is highly dependent on the email program they use to open the message. This method uses the Rich Text format which is compatible with most email clients. However, if you need guaranteed readability, we recommend sending it in plain text format.

Resolution

Save the document as a Rich Text Format (RTF).

Click Edit, Select All (or press Control-A)

Open a new email message in Outlook 2003

Click Format and choose Rich Text

Click Edit and Paste Special

Choose Microsoft Office Word Document and click OK.

You should then be able to send the document.

Authorize your guest account

Abstract:
Issue

When a Faculty or Staff person requests a guest account, it is necessary to authorize it.

Resolution

You should receive an email similar to this:

You have requested a GUEST account for one or more users. Incoming email messages exceeding the size limit may be rejected without notifying the original sender.

Note: actual attachment file sizes may vary due to encoding methods. The encoded file attachment could potentially be larger in the message than the original file size. For example, an 8MB photo's size in the email could be 10MB once encoded. To learn more about the technical process of how attachments are encoded into email, you might want to read about MIME encoding.

If you need to send someone more than 12 megabytes, there are several programs available which will split up files into segments which can then be reassembled. For faculty and staff, it's recommended that you use your personal web site to make large files available for download. For students that need to transfer large files, there are many low cost web hosting companies available. Searching the web for "file hosting" should return many options.

Residental Hall Internet Access Requirements

Abstract:
Seattle University has installed a secure logon system for Windows based PC computers which is intended to protect the University network and network clients from viruses, computer operating system vulnerabilities, and other attacks both from within the University as well as from outside the University network. Each individual accessing the network will be required to have a valid Seattle University network account. When you open your web browser for the first time you were presented with a logon screen. Use your SU account user name and password to log on to the network, you may then be prompted to download software.

To protect your computer as well as the network, you are required to download and install the free Cisco Clean Access Agent (CCAA) software. It is a tool used by Seattle University OIT to continually check your computer for anti virus software and operating system updates. We take your privacy seriosuly. The CCAA software only checks for Windows updates and anti virus software. CCAA does NOT collect or transmit any personal information from your computer. We provide free McAfee Enterprise anti virus software. If you do not have this software installed, CCAA will prompt you to download and install it. Important note: be sure to uninstall any previously installed anit virus programs or internet security suites before installing McAfee anti virus Enterprise

Mac computers do not require any special software, just log on using your network account and password when you open up your web browser.

Most mainstream game devices (Xbox, Playstation, etc) do not need special software or settings to connect. This is because spam senders will often use web crawler programs to scan web pages and harvest email addresses to include on spam lists.

Use a separate email account for registering with web sites or conducting business transactions. There are many free web mail services available online.

If you're receiving a lot of spam, you can try to set up filters. OIT does its best to reduce spam SU account holders receive. There are two layers of filtering done. One layer is done on the server level. OIT's email servers filer out about 95% of spam messages that are sent to campus. The other layer is filtering done by the end user using Outlook.

Tips for managing spam received:

Never reply to spam or click on any links in the message. Just delete the message. Some spammers offer to remove you from their lists. It creates a secure, encrypted connection to the Seattle University main campus network from networks outside of the campus firewall. It allows access to the SU network resources as if your computer was connected directly on campus. Some example of when VPN is used:

A faculty or staff person is traveling or at home and wants to open files on an SU network file share such as your department's "T" drive or your faculty/staff personal "P" drive.

You use Microsoft Outlook 2003 (or Entourage on a Mac) in Exchange Mode and wish to use all of Outlook's features while outside of the SU main campus network.

You are a student using the separate residential hall network or off campus and you need to upload files to your student web site over the file share.

You are using the SU wireless networking but desire secure access to any of the above examples.

You use any other application which requires direct network access, for example, access to the SU license server.

These are just a few examples of the use of VPN. Seattle University's Office of Information Technology (OIT) provides VPN software for download available to students, faculty and staff at no cost.

The process if fairly simple: just download the appropriate software for your operating system, download the configuration file, install the software, load the configuration file, connect and then log in with your SU login and password. Once connected, your computer will act as if it was directly plugged into the SU network.

To get started, go to the installation pages for your operating system:

Windows XP

Windows Vista

Using a home router in a campus residence

Abstract:
Issue

Can I use a home router in my dorm room?

Resolution

OIT does not prohibit the use of routers in your on-campus residence, but we strongly advise against them. Students are responsible for all activity that occurs on their network connection. Using a wired or wireless home router can create security risks and cause networking problems.

If you need additional ports for your room, instead of a router we recommend using a network switch which can be acquired at low cost.

Incorrectly connecting a router to the residential network can cause problems. If your router is configured to give out network IP addresses using DHCP and you connect the internal port to the residential network jack, your router may try to assign network addresses to other computers on your floor or otherwise conflict with the SU system. Sometimes this is known as a "rogue router". In that case, your network port will be deactivated and you will not be able to use the network until you've contacted OIT and resolved the issue. If you are using a router and your network port stops working, contact the Help Desk immediately at ext. 5571 on campus or (206) 296-5571

Below are some diagrams of a normal setup, an incorrect "rogue" router and an incorrect network "bridge" configuration.

Incorrect "Rogue" router setup:

Incorrect "Bridge" type setup

VPN installation for Vista

Abstract:
To save the configuration file, right-click here and choose Save Target As... and save the file to your Desktop.

Download the Cisco VPN client here and click Run twice to start the setup program. The person in whose name an account is issued is responsible for its proper use. Acceptable uses of the network are activities which support learning and teaching. Deliberate attempts to degrade or disrupt system performance will be viewed as a serious offense.

Please read the policies at the following link: http://www.seattleu.edu/it/policies

Note to Macintosh and linux users: You will be required to authenticate through Cisco Clean Access, but currently will not be scanned for certification.

Note to Xbox/Playstation/console game users: These devices are not blocked but not supported either.

Clients must use McAfee antivirus software and allow it to update itself to provide protection against virus attacks.

Clients must keep their computer's operating system software updated with the latest security patches and updates.

Home routers are strongly discouraged. A switch/hub is recommended if you need additional ports.

The following is strictly prohibited:

Setting up a separate wireless or hard wired LAN on the college campus.

Running your own server on campus

Running server services e.g. DHCP, IIS, Apache, WINS, ICS, Dc++ or other such server services which would disrupt the college network

Improper use of your or another person's email account
Using the Seattle University computer network for the illegal retrieval, storage, or distribution of copyrighted materials or otherwise make amiable thru direct or indirect means.

Using the network for financial gain, commercial or illegal activity.

No Scanning, cracking or sniffing for any reason.

Cisco Clean Access Network Securi

Forward SU email

Abstract:
This process requires Microsoft Windows and Internet Explorer 6.0 or higher. See below for alternate methods.

Login to http://owa.seattleu.edu

Set up a rule

Click on the Rules option in the Outlook bar at the left side of the window.

Select the New button at the top of the right pane and a new "Edit Rule" window will display.

Select the Forward it to option.

Type the email address that you wish to forward your incoming mail to.

Be sure to uncheck "Keep a copy in my Inbox" to prevent your SU account from filling up

Select the Save and then Close buttons.

Click OK when a dialog window displays: "This rule will be applied to every message you receive. Are you sure you want to do this?"

NOTE: known issues about email forwarding via owa.seattleu.edu

Forwarded email has your seattleu.edu email address for the reply address for all messages

Forwarded email received in your non-seattleu.edu account will display FW: indicating that the email has been forwarded.

The email sender on forwarded emails will reflect your seattleu.edu email account for the reply address, requiring you to examine each message to find the email address of the original sender located in the body of each message. This is a limitation of the OWA software. It is important to make note of this when you reply to emails forwarded from your seattleu.edu account, becasue hitting the reply button will reply back to your SU account and not the original sender.

Alternate method to forward: redirect messages
